Information 
I enquired with the centre manager tonight about the possibility of using the room upstairs for the RPG group to give them a bit of piece and quiet, but it sounds like there are some issues surrounding fire regulations. However, she did say that if the small hall is free (which it is every couple of weeks) then we can make use of that, so I'd suggest that the RPG'ers might like to make use of it whenever possible.

I've been thinking for a while it might be time to expand, because the groups seems to going from strength to strength, so if the second hall is free, I think we could use it on a regular basis and still basically fill the main hall! which is amazing.

Provided we have access to the extra tables, it's a real possibility that we could fill the second hall. There is only one drawback which we've discussed before...

If the second hall is in use and we've said we can host X, people are going to be let down and we unfortunately have no control over it.

Perhaps it's worth consulting with the managers, finding out which weeks are free and posting those meets up with an 'XL Club meet' or something? Just a thought.

That sounds a good idea Simon, at least then can plan ahead on how much space is available.

Please keep the ideas coming. I'll need to determine from the centre manager how much advanced notice we'll get if the small hall is going to be free on a particular evening i.e. if there a concrete pattern to the other bookings in there. It would be useful to get some visibility of that so we can plan accordingly.

We might also need to tread carefully to begin with - the manager is basically offering us a little more expansion room without charging us for it, so we need to ensure we're making full use of the large hall (which admittedly we were last night) before overflowing into the small hall.

Agree with Stu, we need to be cautious as we have had spikes in attendance before and it has trickled away. Last thing we want to do is overcommit and suffer a nose dive in attendance, leaving the club out of pocket.

How much notice or length of time does the hall need to be booked up for in advance, ie can we book the small hall for say 2 or 3 months and see how it goes? the problem is, over the winter wargaming is more popular, so it might give inaccurate account how things are going? when it comes to summer time when people are away or have other activities then the attendance might dip and we'll be stuck with something we're not using.
Or...

What about offering membership, people paying inadvance may give us more options? If there is a large number of people with memberships then the small hall could be booked knowing the money is already in the bank?

We can book the hall on very short notice, probably the week before and on a week-by-week basis as we need it - taking into account that it is in use by other groups on one or two occasions a month.

Currently we have an offer of using the small hall for free if it's empty, but this was prompted by a need to give the RPG'ers somewhere quiet to begin with. If our use of the small hall becomes more significant (and we squeeze more games in there) then it's understandable that the centre would start to charge us, but we can play it by ear for the time being. If we're at the stage of filling both halls with games then we'd have the corresponding income to fund them - currently we'd struggle to meet the cost of both rooms I think.

This idea could be quite good if we set the membership period the same as the length of commitment we have to make, to book the hall so if we had to agree to book both for 6 months then it would be a 6 month sub? That way we could guarantee funding for it?
